Presentation Mode for Live Meetings

Share a full-screen voting display on your projector or Zoom screen. Show results as they come in, with built-in spoiler prevention so you control the reveal.

What is Presentation Mode?

Presentation Mode is a full-screen display designed for projectors, large monitors, and Zoom screen sharing during Live Meeting sessions. It opens in a separate browser tab from your admin controls, so you can manage the meeting in one tab while attendees see a clean, branded results display in the other.

The display shows your organization's logo and session name, a sidebar listing all questions with their status, and a main stage area that shows voting results with animated bar charts for motions and winner announcements for elections.

Presentation Mode is available for Live Meeting sessions only. Scheduled Election sessions do not support it because there is no single active question to present in real time.

Launching Presentation Mode

1

Open your Live Meeting session

Navigate to the Live Ops tab for your Live Meeting session in the admin dashboard.

2

Click "Presentation View"

In the session header bar, look for the "Presentation View" button (visible on desktop). It opens the presentation display in a new browser tab.

3

Enter full-screen mode (optional)

Once the presentation tab opens, click the "Enter Fullscreen" button at the bottom of the sidebar to fill the entire screen. Press Escape or click "Exit Fullscreen" to return to the normal window.

4

Share the presentation tab

In Zoom, Teams, or your video conferencing tool, share the Presentation Mode browser tab (not your entire screen). This keeps your admin controls hidden from attendees.

The Waiting Screen and QR Code

When no question is actively selected (or before the first question is opened), Presentation Mode shows a branded waiting screen. This screen displays:

  • Your organization's logo (if configured in Settings)
  • The session name in large text
  • A "Ready to Vote?" prompt
  • A large QR code that links to your voter portal
  • A "Scan to Join" label below the QR code

Attendees can point their phone camera at the QR code to open the voter portal directly, with no need to type a URL. A smaller version of the QR code also stays visible in the sidebar throughout the entire session, so latecomers can still scan and join.

Tip: Display the waiting screen before your meeting starts. This gives attendees time to scan the QR code and log in to the voter portal while the meeting is being called to order.

Live Results Display

The presentation display updates automatically every 2 seconds for Live Meeting sessions. You do not need to refresh the page. Results appear differently depending on the question type:

Motion Questions
  • Animated horizontal bar chart for each option
  • Percentage and vote count displayed per option
  • Winning option highlighted with a "PASSED" badge
  • Valid votes and total ballots shown at the bottom
Election Questions
  • Winner announcement in large, bold text
  • Multiple winners displayed for multi-seat elections
  • Tie detection with a prominent amber warning banner
  • Tied candidates listed with their vote counts

Spoiler Prevention

Results are hidden by default for every question. A dark overlay with a "Results Hidden" message covers the results area until you choose to reveal them.

While voting is open:

The overlay shows "Waiting for Close" with a disabled button. You cannot reveal results while voting is still in progress. This ensures no one sees partial results that could influence remaining voters.

After voting is closed:

The overlay shows a "Reveal Results" button. Click it to remove the overlay and show the final results with animated bar charts. You control the exact moment the audience sees the outcome.

Re-hiding results:

After revealing, a "Hide" button appears in the footer area of the results card. Click it to re-apply the overlay if you need to move on before the audience has finished reading.

Per-question state: Each question tracks its own reveal state independently. Revealing results on one question does not affect any other question. When you return to a previously revealed question, it stays revealed.

Navigating with the Sidebar

The left sidebar lists all questions in the session. Each question card shows:

  • The question type (MOTION or ELECTION)
  • The question title
  • A green pulse indicator for questions that are currently open for voting

Click any question in the sidebar to display it on the main stage. The active question is highlighted with a purple border. When a new question is opened for voting, it is automatically selected.

At the bottom of the sidebar, you will find the QR code, a "Back to Admin View" link that returns you to the session setup page, and the fullscreen toggle button.

Best Practices for Zoom Screen Sharing

Share a specific tab, not your entire screen

When Zoom asks what to share, choose the Presentation Mode browser tab. This prevents attendees from seeing your admin controls, email notifications, or other applications.

Use two browser tabs side by side

Keep your admin dashboard in one tab and Presentation Mode in another. Switch between them as needed. Zoom only shares the tab you selected, so attendees always see the presentation.

Enter fullscreen before sharing

Click "Enter Fullscreen" in the presentation sidebar to maximize the display area. This removes browser chrome (address bar, tabs) and gives attendees the cleanest view.

Show the waiting screen early

Start sharing the Presentation Mode tab before the meeting begins. This displays the QR code so attendees can scan and log in while waiting for the meeting to start.

Use a second monitor if available

Put the Presentation Mode on one screen and your admin dashboard on the other. This lets you manage the meeting without switching tabs and avoids any risk of showing the wrong tab.

Frequently Asked Questions

Do I need a paid plan to use Presentation Mode?

No. Presentation Mode is available on all plans, including the Free plan. It is a core feature of Live Meeting sessions.

Can attendees access the Presentation Mode URL directly?

No. The Presentation Mode page is behind admin authentication. Only logged-in administrators with access to the session can open it. Attendees who try to visit the URL will be redirected to the admin login page.

How often does the display update?

The display polls for new data every 2 seconds for Live Meeting sessions. Vote counts, question statuses, and results all update automatically without a page refresh.

Can I use Presentation Mode with a projector in a physical meeting room?

Yes. Connect your laptop to the projector, open the Presentation Mode tab, and enter fullscreen. The display is designed for large screens with high contrast and large text. Use your laptop screen for the admin controls.

What happens if I close the Presentation Mode tab?

Nothing is lost. Presentation Mode is a read-only display. Closing it does not affect the session, votes, or admin controls. You can reopen it at any time by clicking "Presentation View" again.

Does Presentation Mode show the organization logo?

Yes. If you have configured a logo in your organization settings, it appears in the sidebar header and on the waiting screen. If no logo is set, the organization name is displayed as text instead.
